Printing Rotas
- Choose the Weekly Rota Page on the Main Panel.
- Set the date in Rotamatic so that it is the first day of the week you want the rota to be for. The full week should be visible in the Weekly Rota Page.
- Choose which employees will be shown on the rota using the blue arrow buttons at the top of Weekly Rota Page. If you set the three text boxes to ‘Show All’ then a full rota with all employees will be printed.
- From the Menu Bar at the top of Rotamatic select File, and then choose Print.
- A dialog box will appear allowing you to choose how many copies of the rota to print and which printer you wish to use. When you click OK your rota will be printed.
There are three text boxes at the top of the Weekly Rota Page. By setting the values in these text boxes using the blue arrow buttons you are able to choose which employees will be printed on your rota. The first text box limits the shifts shown to those set to be a specific job title. The second text box restricts the printed rota to showing only those shifts that have been filled by employees of a specific job title. The third text box limits the printed rota to showing the shifts of a single employee. A combination of these three text boxes can also be used.

- Set the Shift Job Titles text box to be the job title you would like to choose.
- Set both the Employee Job Titles text box and the Employees text box to Show All.
- From the Menu Bar at the top of Rotamatic select File, and then choose Print.
- A dialog box will appear allowing you to choose how many copies of the rota to print and which printer you wish to use. When you click OK your rota will be printed.
- Choose the Weekly Rota Page on the Main Panel.
- Set the Employees text box to be the employee you would like to choose.
- Set both the Shift Job Titles text box and the Employee Job Titles text box to Show All.
- From the Menu Bar at the top of Rotamatic select File, and then choose Print.
- A dialog box will appear allowing you to choose how many copies of the rota to print and which printer you wish to use. When you click OK your rota will be printed.
Rotamatic by default prints rotas with shifts coloured according to the colour setting of each employee. If you’d prefer to have rotas printed in black and white this can be changed in the Options window.
- From the Menu Bar at the top of Rotamatic select Tools, and then choose Options.
- The Options Window will appear. Remove the tick from the box where it says ‘Print rotas using colours’.
Rotamatic by default prints rotas with employees ordered according to their job titles. If you’d prefer to have rotas printed with employees stacked in alphabetical order this can be changed in the Options window.
- From the Menu Bar at the top of Rotamatic select Tools, and then choose Options.
- The Options Window will appear. Remove the tick from the box where it says ‘Group employees by job title’.
