Creating Shift Patterns

The basic building block within Rotamatic is the shift. Each shift has a start time, an end time, a job title and, if it has been filled, an employee.

Creating a Shift

  1. Change the date Rotamatic is set to using the Date Changer so that the date of the shift is shown in the Shifts Page.
  2. Click the mouse at the top of the day you would like to create a shift for. The top of the day changes colour when the mouse is moved over it to show where to click.
  3. A shift will appear with a default start time of 09:00 and an end time of 17:00. These times can be altered to fit your requirements using the following methods.

Altering a Shift's Times

There are two ways to alter a shift's start and end times -

Alter the times directly on the Shift Details Panel

  1. Select the shift you want to alter by clicking on top of it with your mouse on the Shifts Page.
  2. The Shift Details Panel should update with the shift's current start and end times. By clicking the up and down arrows next to the hours and minutes of the start and end times you can set the times as desired.

Drag and drop the start or end of a shift to a new time -

  1. Move the mouse over the start or end of the shift you wish to alter.
  2. Press and keep down the left mouse button.
  3. Move the mouse either left or right depending on whether you wish to set an earlier or later time. You can also move the start or end time to a new day eg. to create a night shift where a shift starts on one day but ends on another.
  4. Release the left mouse button.

By default a shift's start and end times are rounded off to the nearest 15 minutes. You can alter this setting in the Options Window.

Deleting a Shift

  1. Click the right mouse button on top of the shift in the Shifts Page.
  2. A menu will appear. Choose Delete from this menu.
  3. You will be asked to confirm that you wish to delete the shift. Click OK.

Cut a Single Shift

  1. Click the right mouse button on top of the shift in the Shifts Page.
  2. A menu will appear. Choose Cut from this menu. The shift will disappear from the Shifts Page and will be stored in the program's clipboard.

Copy a Single Shift

  1. Click the right mouse button on top of the shift in the Shifts Page.
  2. A menu will appear. Choose Copy from this menu. A copy of the shift will be stored in the program's clipboard.

Paste a Single Shift

  1. Move the mouse over the day you wish to paste the shift in the Shifts Page.
  2. Click the right mouse button and select Paste.

Cut a Day's Shifts

  1. Click the right mouse button in clear space on top of the day whose shifts you wish to cut.
  2. A menu will appear. Choose Cut Day from the menu. The shifts for the day will be cleared and a copy of all these shifts will be stored in the programs clipboard.

Copy a Day's Shifts

  1. Click the right mouse button in clear space on top of the day whose shifts you wish to copy.
  2. A menu will appear. Choose Copy Day from the menu. A copy of all the shifts for the day will be stored in the programs clipboard.

Paste a Day's Shifts

  1. Click the right mouse button on top of the day where you wish to paste the shifts stored in the clipboard.
  2. You can either paste the shifts with the employees who are allocated to them or you can paste them as empty shifts. To paste the shifts together with the employees allocated to them select Paste Day. To paste the shifts as empty shifts select Paste Day Without Employees.

Set the Job Title of a Shift

Each of the shifts can be set to be for employees from a particular job title. To set a shift’s job title –

  1. Select the shift on the Shifts Page by clicking on it with the mouse.
  2. On the Shift Details Panel use the blue arrow buttons to select the appropriate job title from the job title chooser.

When an employee from a different job title is allocated to a shift the role box on a shift turns red as a warning:-
