SMS Text Messaging

To be able to send text message rotas from Rotamatic you have to have an account with Clickatell.

Sign up for a Clickatell Account

  1. At the Clickatell website sign up for a SMS Gateway account. Free trials are available. Currently the sign up page for an SMS Gateway account is located here.
  2. When you have created an SMS Gateway account you must add a HTTP/S connection to your account. This can be added in the Clickatell Central administration pages. Click 'Manage My Products', then from the 'Add Connection' dropdown at the top of the page select HTTP.
  3. Make a note of your API ID for the HTTP/S connection you have just created as well as your username and password for the account.

Enter Clickatell account details into Rotamatic

  1. In Rotamatic open up the Options Window by selecting Tools > Options from the Menu Bar.
  2. Select the Text Messaging tab.
  3. In the text boxes enter your username, password and API ID from your Clickatell account.
  4. In the Service ID textbox enter a mobile phone number that you would like any reply text messages to be sent to. This will be the mobile number that the text message will appear to have come from. The mobile number has to be entered in international form - ie. if your mobile number is 07945345685 and you are in the UK then you would enter 44794534 5685.
  5. Click OK to save your account details.

Send a Weekly Rota By SMS Text Message

  1. Choose the Weekly Rota Page on the Main Panel.
  2. Set the date in Rotamatic so that it is the first day of the week you want the rota to be for. The full week should be visible in the Weekly Rota Page.
  3. Choose which employees you wish the text message rotas to be sent to using using the blue arrow buttons at the top of Weekly Rota Page. If you set the three text boxes to ‘Show All’ then a text message rota will be created for all employees.
  4. Click the blue SMS button on the top left of the Weekly Rota Page.
  5. A popup window will appear with a list of the employees who will be sent text message rotas. You can view or edit the message that will be sent to each employee by clicking the small green cross button beside their name. The text in the message textbox can be edited to alter the message that will be sent.
  6. Employees with a tick in the box beside their name will be sent text messages. To stop an employee from being sent a text message remove the tick from the checkbox.
  7. Click Send to send the text messages.

Send a Single SMS Text Message

  1. Click Tools > Send Text Message from the Menu Bar.
  2. You can either choose to send a text message to a member of staff already entered into the system or you can send a message to a new mobile number. If you wish to send a message to a member of staff within the system choose their name from the employee dropdown. Otherwise select Enter Number fromthe employee dropdown and enter a mobile phone number in the Mobile Number text box.
  3. Enter the message text in the textbox below. The number beside the message box shows how many characters you have left in the current message. If you go over this limit then the message will be broken up into seperate messages.
  4. Click send to send your message.
